ceramic aftersales traceability

Ceramic Product After-Sales Support and Traceability

For importers, distributors and project buyers, product quality support should continue after an order has been delivered. When an issue is reported, buyers need a clear way to identify the product, trace its production and inspection records, and agree on a practical solution.

Our after-sales service for ceramic products combines pre-delivery inspection, product identification and a documented feedback process. This helps connect each product with its order and quality records.

Quality inspection of ceramic products before packaging

Pre-delivery quality inspection for ceramic products

Before packaging, ceramic products undergo a 100% inspection based on the agreed inspection requirements, including the applicable EN 997:2012+A1:2015 Class 1 criteria where relevant to the product.

Products that pass inspection proceed to packaging. This step helps identify issues before shipment and provides a documented quality checkpoint for the order.

Product and order identification

Traceability starts with clear identification. Each package is marked with a unique Product Contract No., linking the goods to the corresponding order.

Each product also carries our company quality inspection label and the factory quality inspection label with an exclusive inspection number. Together, these identifiers help connect the product with its inspection records and production batch.

How to report a product quality issue

If you find a quality concern after receiving your ceramic products, please contact us by email, phone or through your local agent. To help us review the case, include:

  • Product Contract No.
  • Factory inspection number
  • A description of the issue
  • Clear photos or video of the product and the affected area

Providing these details helps us identify the relevant order and begin the traceability review.

Our after-sales review and response process

1. Traceability review

Using the Product Contract No. and inspection number, we retrieve the corresponding production information, factory inspection report and our re-inspection records. This allows us to identify the relevant production batch and review the available quality records.

2. Verification and proposed solution

We aim to verify the reported information within 24 hours of receiving the required details. After reviewing the case, we propose a solution based on the nature and severity of the issue.

For minor appearance defects that do not affect product use, we may offer an appropriate compensation arrangement or a discount on a future order.

For confirmed performance issues, such as leakage or flushing problems, we aim to arrange a replacement or full refund within 72 hours after confirmation. Related logistics costs are handled by us in accordance with the agreed solution.

If a batch-level quality issue is identified, we initiate a batch traceability review and coordinate with the factory on the appropriate corrective action. Replacement products may be arranged to help reduce disruption to the customer’s operations.

3. Follow-up and case closure

After the agreed solution is implemented, we follow up on the product’s use and contact the customer after seven days to check whether the issue has been resolved.

After-sales records—including the original feedback, traceability findings, proposed solution and follow-up notes—are retained for two years for future reference.

What full traceability means for buyers

The Product Contract No., dual quality labels and inspection number create a traceable link between the product, order, factory and inspection records. This gives both parties a clearer basis for reviewing reported issues and deciding on next steps.

For buyers, a documented after-sales process can support more effective communication with suppliers and help teams manage quality concerns with relevant product information.

Ceramic product after-sales support for importers and distributors

Reliable supply involves more than production and shipment. It also depends on clear quality records, responsive communication and a defined process for handling product feedback.

If you source ceramic products for distribution or projects, contact us to discuss product specifications, inspection requirements and after-sales support for your order.
